Public Health Leadership Solutions (PHLS) is a consultancy providing independent public health expertise, screening quality assurance, clinical governance, and leadership development services. We are based in the United Kingdom.

Why we collect it and our legal basis

We process your personal data for the following purposes:

  • To respond to enquiries you send us. Our legal basis is legitimate interests: you have contacted us and we need to respond.

  • To maintain a record of business enquiries and manage our client relationships. Our legal basis is legitimate interests: as a professional consultancy, we have a legitimate interest in keeping a record of people who have contacted us in order to manage those relationships effectively. We have assessed that this interest is not overridden by your rights, given that you have contacted us in a professional capacity and would reasonably expect a consultancy to retain business contact information.

  • To understand how our website is used and improve it. Our legal basis is legitimate interests: it helps us maintain a functional, useful website.

We do not use your data for automated decision-making or profiling.

We use contact information only to respond to your enquiry and to manage our ongoing business relationship with you. We do not add you to mailing lists, share your details with third parties for marketing purposes, or use your information for any purpose beyond those described in this policy.

Who we share your information with

We do not sell, rent, or trade your personal data. Your information may be held by the following third parties who provide services to us:

Wix.com, which hosts this website and processes data on our behalf under its own data processing terms.

Microsoft, whose SharePoint and Excel products we use to store and manage business contact information. Microsoft processes this data on our behalf under its standard data processing terms, which are compliant with UK GDPR.

We require any third party processing your data on our behalf to do so only in accordance with our instructions and in compliance with UK GDPR.

Client data and data processing agreements

Where our work involves access to personal data held by a client organisation, for example during a quality assurance review, an incident investigation, or a programme evaluation, we will enter into a data processing agreement with that organisation before the work begins. This agreement will set out the nature and purpose of the processing, the types of data involved, and the obligations and rights of both parties in accordance with UK GDPR.

In those circumstances, the client organisation is the data controller and PHLS acts as a data processor. We will process personal data only in accordance with the client's documented instructions, and we will not use it for any purpose beyond the specific engagement for which it was shared.

If you are commissioning work from PHLS that will involve access to personal data, please raise this with us at the outset so that appropriate agreements can be put in place before work commences.

How long we keep your data

We keep contact enquiries and associated business contact details for three years from the date of last contact, after which they are deleted from our records. If you become a client, we will retain relevant information for as long as is necessary to manage that relationship and for seven years afterwards in line with standard business record-keeping practice.

Your rights

Under UK GDPR, you have the right to access the personal data we hold about you, request that we correct inaccurate data, request that we delete your data, object to or restrict our processing of your data, and withdraw consent where processing is based on consent.

If you are unhappy with how we have handled your data, you have the right to complain to the Information Commissioner's Office at ico.org.uk.
